Can I charge a travel fee for home lessons or in-person lessons?
Written by Daphne Lim - Updated
A travel fee is not necessary if it is convenient enough for you to get to the in-person location.
However, if you are doing in-person lessons at a location that is a bit of a drive away, then you can discuss a travel fee of maximum $1 per kilometre of travel from your location (i.e. if you are 5km away from a student, you can discuss adding a $5 travel fee).
The travel fee must be agreed with your client in advance of any in-person lessons in writing. Make sure you have a text message or screenshot confirming it.
It is important to note that KIS will not take commissions for additional charges you request from clients for travel, but the KIS staff will have to be notified so that modifications can be made to your KIS App price.
How to organise a Travel Fee for in-person lessons
1. Discuss the fee with the customer. Ensure you agree on a reasonable travel fee and that you have them agree in writing (ie. via text message or email)
2. Message the #help channel in Slack, or contact support directly via contact@kisacademics.com to have it added on to your KIS App charges with them.
3. You will be able to see this charge on the KIS app:
How do I charge the Travel Fee?
- When you create a charge for the customer, a checkbox (default checked) will appear for the travel fee to be included in the invoice:
- Ensure that the checkbox is checked, and send your invoice. If you want to remove the travel charge, just uncheck the box.
How Much should I charge?
If possible, we do not recommend adding a travel charge.
However, if you think it is necessary, the rate is $1/km of travel. We always recommend to charge as low as possible (i.e. just enough to cover petrol or public transport).
What if my student does not agree to the travel fee?
Again, we must reiterate that you do not have to add a travel charge for in-person tutoring at all.
If you are unable to come to an agreement with your student, and are unable to tutor them due to the distance and their unwillingness to pay for the extra travel charge, that unfortunately means that you will not be able to take on that student. In this case, please refer to this article on how to re-pair the student: What if I can't take on a new student request?
Is it possible to remove the travel fee afterwards?
Absolutely! If circumstances change and you no longer require to charge the student the travel fee, please contact KIS admin through #help channel on Slack, or send an email to contact@kisacademics.com to get that charged removed!
If you have more questions, feel free to shoot a message to #help channel on Slack, or send an email to contact@kisacademics.com
