When and How should I charge a student in the KIS App?
Written by Daphne Lim - Updated
Always charge a student, both new and old, AFTER the lesson is over.
For New Students
You should charge them after their first paid lesson!
DO NOT charge customers after the free study skills consultation session. The 30 minutes study skills consultation is free for the customer!
For Current Students
Charge customers after the lesson; never send an invoice for a lesson before it happens. Do make sure that you include the correct date and time of the lesson on your invoices!!Â
How do I submit a Charge?
It's easy! Log on to the KIS App, and navigate to "Jobs", where there will be a "create charge" button on the top right of the page:Â
Just click into it, make sure you have the correct student, enter the correct date and time for the lesson, and ensure you have the correct lesson duration. Once you've checked through that everything is correct, press the purple "submit charge" at the bottom of the page:
Can I submit a charge for less than an hour?
If you have a lesson for, say 30 minutes, or a lesson that went on for 1 hr 15 minutes, you can just adjust the time when creating the charge. Please take note that to charge a lesson for less than an hour, leave the hour as 0, and just enter the lesson duration in minutes (see below):Â

Help! I submitted an Incorrect Charge!Â
No worries, each charge you make remains pending for one hour (essentially a one hour time delay) so you can cancel it in case you charged it by mistake. After that hour the client is charged for the lesson.
If you require an invoice to be voided or edited after the one hour grace period, please let the KIS admin team know either by shooting a message to the #help channel on Slack, or sending an email to contact@kisacademics.com with the customer's name (as it appears on the KIS App) and the details of the invoice you want voided.Â
